Privacy Policy

Current as at: June 29, 2025

At HeadstartU, we’re committed to protecting your privacy and keeping your data secure. This policy explains how we collect, use, and protect your information when you use our platform. It applies to all users — including parents, students, and educators — and complies with Australian privacy law, including the Privacy Act 1988.

1. Information we collect

We collect the following types of information to provide and improve our services:

  • Personal information: Your name, email address, and any other information you enter when registering or setting up your account.
  • Student information: Details you provide for student profiles, such as name, curriculum level, and learning progress.
  • Usage data: Activity logs, learning progress, and curriculum tracking data generated as you use the platform.
  • Payment information: If you subscribe to a paid plan, we process billing securely via Stripe.
  • Technical data: Information such as IP address, browser, and device type, collected automatically to help us troubleshoot and improve the platform.

2. How we use your information

We use your information to:

  • Support your use of HeadstartU, including saving and displaying your learning activities and progress.
  • Communicate with you about account-related updates, support, or platform changes.
  • Process payments (if applicable) and manage your subscription securely.
  • Maintain security, troubleshoot issues, and improve the platform based on usage trends.

We do not sell your personal information or use it for third-party advertising. We only share data with trusted services (listed below) that help us run HeadstartU.

3. Data security

We use secure hosting and encryption to help protect your data from unauthorised access or misuse. No online service can guarantee absolute security, so we encourage you to use strong passwords and take appropriate precautions.

4. Third-party services

We rely on the following third-party services to support HeadstartU:

  • Heroku: Hosting. See their Privacy Policy.
  • Amazon S3: Storage of uploaded assets and learning materials. See the AWS Privacy Policy.
  • Stripe: Payment processing for subscriptions. See the Stripe Privacy Policy.
  • Analytics tools: We may use tools such as Google Analytics to understand usage trends. These collect anonymised data as per their respective policies. We only enable analytics cookies after you give consent via our cookie banner.

Cookies

We use the following cookies:

  • Necessary: Session and sign-in cookies (e.g. _atomic_session) so the site works and you stay logged in. We may also set a “remember me” cookie if you choose that option on login. These do not require your consent.
  • Analytics: If you accept analytics, we use Google Analytics (cookies such as _ga, _gid) to understand how the site is used. These are only set after you click “Accept all” in the cookie banner.
  • Your choice: A cookie (cookie_consent) that stores your cookie preferences so we do not ask again on every visit.

Changing or withdrawing consent: You can change your mind at any time using the “Cookie preferences” link in the footer. That will show the cookie banner again so you can accept or reject non-essential cookies. Clearing your browser cookies will also remove your preference and we will ask again on your next visit.

For users in the UK and EEA, we do not set analytics cookies until you have chosen to accept them.

5. Your rights and choices

You have the right to:

  • Access and update your personal information.
  • Delete your account and associated data upon request.
  • Export your data in a readable format (where feasible).
  • Opt out of non-essential communication such as feature updates.
  • Withdraw or change your cookie consent at any time using the “Cookie preferences” link in the footer.

To request any of the above, email support@headstartsystems.com. We’ll respond within 30 days, in line with privacy legislation.

6. Children’s privacy

HeadstartU is designed for use by parents and educators, not children directly. We do not knowingly collect data from children under 13 without parental consent. If you believe a child’s data was submitted in error, contact us and we’ll investigate and remove it if needed.

7. Policy updates

This policy may be updated as HeadstartU evolves. We will post any updates here with a revised date and notify users of significant changes via email or in-app messages.

8. Contact us
